On-boarding Forms – Onboarding Foundations

When a new employee joins your team, the first few days are critical.  Not only will they need to spend time learning the ropes and figuring out their place in your company, but they'll have to gain a good knowledge of the rules for conduct and what's expected of them.  They'll also have to provide a company with some basic information about themselves.  Both of these tasks can usually be completed through the use of various HR on-boarding forms.  There are many different types of HR on-boarding forms, and plenty of different ways to go about presenting them to the employee and receiving them.  Some companies manage HR on-boarding forms just as they've been managed for decades, while others have gone to a predominately digital service of them.  Either way, there's no escaping the importance of HR on-boarding forms. 


  • The most important HR on-boarding forms are those that prove the employee is legal to work in the country and usually consist of social security number, work visa information, or other forms of identification.  These HR on-boarding forms keep a company compliant.
  • Tax forms are also vital HR on-boarding forms since they'll influence the way that payroll is calculated in the human resources department.
  • Most companies request HR on-boarding forms that detail handicap status as well as race and ethnicity.  These HR on-boarding forms are completely voluntary, but will help with equal opportunity studies.
  • If there are medical issues that may necessitate certain allowances, those medical HR on-boarding forms will need to be turned in so that the allowances can be made.
  • Companies that offer direct deposit pay will also request HR on-boarding forms that detail direct deposit information.
  • Drug testing has become an important aspect of business, and most companies today utilize drug tests to ensure a safe workplace.  They'll provide HR on-boarding forms that employees need to sign to affirm that they're aware of these tests.
  • Sexual harassment and discrimination of any kind are illegal, and most companies have very strict policies in place to deal with these issues.  They'll usually be detailed in one or more documents so that the employee is aware of the issue.
  • Even the company handbook is considered to be one of the different HR on-boarding forms since it explains all of the policies a company will expect the employee to adhere to.

As mentioned above, most HR on-boarding forms are completed on the first day of work and turned in to the HR department.  Some companies have started digitizing certain aspects of their forms and making it easy for employees to view and complete different forms.  When you hire a new employee, there's no way to avoid the use of these important documents.  For that reason, it's a good idea to familiarize yourself with all of the ones that your company hands out.
